Privacy Notice

Last updated: 3 October 2026

1. Who we are

ScanMarkUK is the data controller for the personal data described in this notice. That means we decide how and why your personal data is processed. You can contact us at support@scanmarkuk.app.

2. What we collect and why

  • Account data — your name, email address, school name and login credentials, used to create and secure your account (legal basis: performance of our contract with you).
  • Content you upload — photographs of pupil work and the class details you enter, used to provide the marking service you ask for (legal basis: performance of the contract). Please only upload pupil images where your school's policies and the law allow it.
  • Support messages — anything you send us when you ask for help (legal basis: performance of the contract and our legitimate interests).
  • Usage and device data — log data, device identifiers and IP address, used for security, fraud prevention and improving the service (legal basis: our legitimate interests).

Payment details are collected and processed by Paddle (our Merchant of Record), not by us; please see Paddle's own privacy materials for how they handle payment data.

3. Who we share data with

  • Service providers who host and operate the service for us (cloud hosting, database and automated processing), under contract.
  • Paddle, our Merchant of Record, for the sale of our products, subscription management, payments, tax compliance and invoicing.
  • Professional advisers (legal, accounting) where needed.
  • Authorities where the law requires it.

4. International transfers

Some of our service providers process data outside the UK/EEA. Where they do, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.

5. How long we keep data

We keep your account data while your account is active, and saved scans until you delete them or close your account. When data is no longer needed, we delete or anonymise it. We may keep minimal records where the law requires (for example, tax records).

6. Your rights

Under UK data protection law you have the right to access, rectify and erase your personal data, to restrict or object to processing, to data portability, and to withdraw consent where processing is based on consent. We respond to requests within one month. You also have the right to complain to the Information Commissioner's Office (ICO). To exercise any of these rights, email support@scanmarkuk.app.

7. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit and access controls that limit who can see your data.

8. Cookies

We use essential cookies (and similar storage) to keep you signed in and make the service work. We do not use marketing cookies. You can manage cookies in your browser settings; blocking essential cookies will stop sign-in from working.
